Location selection for your event
Finding the right venue for a meeting or corporate event often takes more time and money than expected, especially when it is not part of your daily work. Searching on your own can be enjoyable, but it is also an intensive and time-consuming process. By outsourcing this to a specialised organisation such as NR-Events, you work far more efficiently.
We have an extensive portfolio of hotels, conference centres, and unique hospitality venues for corporate events throughout almost all of Europe. This enables us to quickly identify the best-fitting and best-available options. You not only save valuable time, but often also reduce costs thanks to our market knowledge and strong negotiating position.
How does the venue selection process work?
After your request, we schedule a personal consultation to discuss your wishes and objectives in detail. This includes the programme, preferred region or city, room capacity, number of overnight stays, catering, technical requirements, and of course the available budget.
Based on this information, we prepare a carefully substantiated venue proposal with one or more suitable options. Together with you, we review these possibilities and make an initial selection. We then request tailor-made proposals from the selected venues, which we critically assess and refine where necessary.
Afterwards, we place a non-binding, optional reservation. This guarantees availability until the option expiry date and gives you the time to make a well-considered decision.
Site inspection
Once a preferred venue has been identified, we can organise a site inspection. During this visit, we provide personal guidance, offer on-site advice, and ensure that all relevant spaces and facilities are reviewed. The first site inspection is generally free of charge, with the exception of any travel and accommodation expenses. If an overnight stay is required for the visit, venues often provide accommodation free of charge or at a reduced rate.
Negotiation and contract
Once you have made your final choice, we start negotiations with the venue to secure the best possible terms for your event. This includes careful attention to cancellation policies, payment terms, liability, and force majeure clauses. All agreements are clearly documented in a transparent and comprehensive contract.
